Parents Association Meeting Schedule

All parents of swimmers are automatically members of the Oxford Razors Swim Team Parents Association. The primary responsibilities of the association are to raise funds for the team, organize home meets, disseminate information, and assist the coaches whenever necessary. Parents Association meetings will be held once a month. It is extremely important that parents attend these meetings whenever possible, since many of the decisions regarding goals for the team and special events are discussed at these times. Parents are expected to participate in swim team activities and to volunteer at a minimum of four meets throughout the season. Listed below are available volunteer positions. Volunteer Chair: Someone to oversee and direct the parent volunteer effort.

Concession Co-Chairs: Concessions comprises a major source of funds for the team. All parents are responsible for staffing and supplying the stand at home meets. Concession co-chairs as well as parent volunteers to work during home meets are needed. A rotating system of parent volunteers will be used to make it fair for all.

Timer Chair: One volunteer is needed to spearhead the timers committee. Responsibilities will include timing and assigning timers to home and away meets on a rotating basis.

Year End Banquet and Fundraising Chair: Plan and arrange for the year end banquet as well as chair a group of parent volunteers.

Officials: Ideally, we would like to have two officials present at every meet. If you are interested in becoming an official, let Coach Molly know.

Starter/Event Announcer: Parents interested in starting or announcing at home meets should speak to one of the coaches regarding a training session.

Scorekeepers: Two scorekeepers are required for each meet. Instruction will be provided for those interested.

Touch pads: Volunteers are needed to set up the touch pad system at every home meet. This entails putting the cables in place, plugging in the starting system, the speakers, the scoreboard, and putting the touch pads in each lane. Coach Martha will be happy to instruct anyone who is willing to arrive prior to the start of the warm-ups.

Timing Operator: At every home meet we need volunteers to run the timing system console. It is not difficult, but some experience needs to be gained before someone can operate it alone.

Hy-Tek: One person is always needed to enter swimmers’ times as their cards are turned in during the course of the meet. On the job training will be gratefully provided by our resident computer wizards. No great computer skills are needed.

Fundraising Volunteers: Two or three parent volunteers with creative fundraising ideas to share and implement.

Timer Volunteers: For each meet six timers and two back-up timers plus eight relief timers are required.

Runner Volunteers: Although the position implies athletic prowess, reliability rather than foot speed is the primary qualification for this job. The runners are responsible for walking the event cards to the scorers following each heat. Two runners per home meet are needed. In addition, an event card runner is needed to distribute event cards to each swimmer making sure the swimmer gets to the starting blocks before their event.

Checker Volunteers: Each lane needs one checker. Once the event card runner gets the swimmer to his/her assigned lane, the checker needs to make sure the person on the sheet is the same person on the block.

Deck Marshall: One person is needed to make sure only the swimmers, the coaches, and those volunteering at a home meet are on deck.

Publicity and photos: One publicity volunteer is needed who will be responsible for reporting meet coverage to the Voices and Oxford Gazette. Many photo volunteers are needed to take photos for submissions to the local papers and presentation at our year-end banquet.

Swimsuit Coordinator: Oversee sizing, ordering and distributing team suits.
